Job Description

Supervises: N/A

Reports To : Senior Director, Coalitions

Position Description:

Are you a proactive, detail-loving professional ready to take the next step in your career? ACEC is looking for an organized, curious, and motivated Coordinator to support our member coalitions and educational programming. If you thrive on coordinating a range of projects, enjoy collaborating with different teams, and want to help shape resources for the nation's top engineering professionals, keep reading!

In this role, you'll work closely with our Coalitions Senior Director to help manage six member coalitions — and you'll get to take ownership of at least one, driving its activities, communications, and member engagement. You'll also have a chance to contribute fresh ideas to make our processes better, faster, and more innovative.

Team Description: You'll join a dynamic, collaborative team dedicated to empowering engineering professionals through high-quality education — from online learning to in-person workshops. We're passionate about helping our members grow their businesses and careers, and we value new ideas, big and small.

Duties:

Keep Projects Moving:

  • Prepare agendas, take meeting minutes, track action items — and make sure nothing falls through the cracks.
  • Set up event registrations and help ensure our sessions are ready to launch and promote.
  • Keep our CRM database, website, and marketing materials current and accurate.

Connect and Communicate:

  • Coordinate marketing materials and timelines for coalition events, publications, and education sessions.
  • Update coalition leadership and members with clear, timely communications.
  • Keep resource pages, email lists, and social channels fresh and up-to-date.
  • Partner with ACEC's Marketing & Communications team to get the word out.

Make Events Shine:

  • Help plan and prep for in-person events, from assembling materials to on-site support and logistics.
  • Liaise with hotels and vendors to make sure everything runs smoothly.

Keep Our Website Useful:

  • Post new content, update pages, and coordinate with vendors when needed.
  • Make sure members always have access to the latest resources and tools.

Track Progress and Improve:

  • Pull reports on membership, event attendance, and publication sales.
  • Attend coalition meetings and ensure follow-ups are clear and complete.
  • Spot opportunities to streamline processes and propose creative solutions.

Qualifications:

  • Bachelor's degree or equivalent work experience.
  • 3-5 years in a professional support, admin, or project management role — ideally with an association or member-based organization.
  • Comfortable with Microsoft Office and CRM databases (NetForum experience is a plus!).
  • Experience with website platforms (WordPress or similar).
  • Great written and verbal communication skills — you're not afraid to pick up the phone or jump into a meeting.
  • Strong attention to detail, organization, and time management.
  • A positive, proactive attitude and love for working with a team.
  • Bonus: Experience with HubSpot, Canva, or an interest in the engineering industry.

Why You'll Love It Here:

  • You'll have the chance to take ownership, share ideas, and make your mark on our coalitions and member education programs.
  • You'll collaborate with smart, dedicated colleagues who value fresh thinking and continuous improvement.
  • You'll help deliver valuable resources to engineers who make a real difference in our world.
